AIR TRANSPORTATION
OutSystems is pleased to host economy / coach class roundtrip air transportation, for you and your guest, from your preferred airport to the Into Ngurah Rai International Airport (DPS), on official program dates Sunday, May 7 - Thursday, May 11, 2023. All qualifiers are required to book air travel through Luxe Travel. Do not book travel on your own - doing so will result in the refusal of reimbursed expenses.
Please indicate your intended travel dates & any plans for travel extensions on your registration form. The most efficient route will be chosen for you.
Ticketing Process:
- During registration, you will be prompted to enter your air travel information and preferences.
- Within 3 business days, a Luxe agent will email you a proposed itinerary.
- You have 24 hours to approve or request changes to the proposed itinerary via email.
- Upon confirmation, your tickets will be issued. Any changes made to your itinerary after ticketing will be at your own expense.
Important Notes:
- Flights will be offered via the most direct and economical route from your departure city to/from Ngurah Rai International Airport (DPS). Any additional costs associated with personal travel deviations, upgrades, preferred airline, or pre/post extensions will be at your own expense.
- If you have not received an email from Luxe within 3 business days of submitting a completed registration, please check that the email has not been sent to your junk mail folder. If you don’t find it there, please email outsystemsevents@launchinc.com.
AREA CODE/cell phones
Indonesia’s country code if 62. Most international cell phones work in the area. It is recommended that you activate your International service plan on your phone to minimize any phone charges, texting and data roaming charges.
Arrival information (Ngurah rai international airport - dps)
Upon arrival, please collect your luggage from the baggage claim area and continue through Customs. As you exit Customs, you will be greeted by Event Staff, who will assist with your luggage and direct you to waiting transportation.
Hosted Transportation (May 7 and May 11 only):
- Hosted transportation is provided between the Ngurah Rai International Airport and the Ritz-Carlton for arriving flights on Sunday, May 7 and departing flights on Thursday, May 11 only.
- The scenic transfer to the hotel takes approximately 30 minutes.
If arriving/departing on other dates:
- You are responsible for your own transportation to/from the hotel.
- Taxi service from the airport is readily available. It is recommended to visit the Taxi Counter to arrange transportation with an official car.
- Please indicate your extension plans when registering so we can coordinate your hotel reservation accordingly if needed.
Arrival to the Hotel
Upon arrival at the The Ritz-Carlton Bali, please check-in to your room at the Hotel Front Desk. You will be required to present a valid passport and provide a credit card for incidentals. The official hotel check-in time is 3:00 p.m. If you arrive prior to this time, pre-tipped bellmen can store your luggage until your room is available. The hotel will make every effort to have your room ready upon your arrival.
After you check-in to your room, please make your way over to the OutSystems President’s Club Hospitality Desk to pick up your welcome materials. This area will be open and staffed throughout the week to help ensure you have the best possible experience.
Attire & Packing Suggestions
In general, the standard attire in Bali is comfortable and casual. The Hotel asks that a swimsuit cover-up and shoes be worn in the lobby, boutiques and dining outlets. You will find yourself most comfortable in resort casual / active sportswear (polo shirts, shorts, sun dresses, or blouses, sandals, walking shoes, etc.) in most settings. Additional travel details will be sent to you 1-2 weeks prior to your departure. Please note that all group evening functions are outdoors.
Important: If you plan to visit temples or holy sites, ladies and gentlemen must cover knees and shoulders. Additional clothing is typically provided with entry fee or available for rent.
We suggest that you bring sunscreen, sunglasses, and a hat or visor to protect yourself from the intense sun.

Children/INFANTS
President's Club event is an adult-only event as stated in the T&Cs circulated. Unfortunately, we cannot accommodate children/infants and must enforce the policy that no guest under the age of 21 is permitted to attend the venue, even if the qualifier wishes to pay out of pocket.

COVID-19 VACCINATION
At this time, mandatory proof of COVID-19 vaccination is required to enter Indonesia. Travelers must have received a complete dose (second shot or third dose/booster) of the COVID-19 vaccine at least 14 days before departure to Indonesia & travelers must also download the PeduliLindungi app to get COVID-19 vaccine verification before arrival. International Travelers who have been infected with COVID-19 and have recovered from it but are unable to receive the second dose of vaccine can now enter Indonesia upon presentation of a recovery certificate from COVID-19 AND having at least the first dose of vaccine. CURRENCY
The Rupiah (Rp) is the official currency of Indonesia. Major credit cards are accepted extensively throughout Bali. The exchange rate fluctuates daily. For updates on the current exchange rate, please visit www.xe.com.
If you choose to exchange money in Bali, you may exchange it at the airport, through the hotel, or at exchange shops. It is best to exchange money at your bank prior to departing, as exchange bureau fees in Bali are generally high.
Departure information
Prior to your departure from the Ritz-Carlton Bali, you will be provided with a personalized departure notice outlining your transfer schedule. Hotel check-out time is 12:00 p.m. Departure transportation to the Ngurah Rai International Airport (DPS) will be provided on Thursday, May 11, only. If you are departing on a different date, you are responsible for your own transportation arrangements.
DRINKING WATER
Please do not drink tap water in Bali. Only use filtered bottled water for drinking and brushing your teeth. The water provided during hosted activities and at all restaurants at the hotel are safe to drink.
ELECTRICITY / ELECTRICAL CURRENT
Electrical outlets in Bali supply 230 volts. It is recommended to bring a voltage converter for your electric appliances. Please see the images below for clarification of outlet type:
Etiquette & Social customs
A few things to know while in Bali:
- Don’t use your left hand to touch or give.
- Don’t use your index finger to point or to beckon.
- Don’t touch people’s heads. According to the Hindu culture, the soul resides in one’s head.
- Be respectful of the Balinese customs, rituals, and sensibilities, especially when taking photos.
- If you plan to visit temples or holy sites, ladies and gentlemen must cover their knees and shoulders. Additional clothing is typically provided with the entry fee or available for rent.
Extensions
If you wish to alter or extend the travel plans that we are pre-arranging for you, you are at liberty to do so and we will be happy to assist you. You will, however, be responsible for any resulting increase in your airline ticket price, booking additional hotel nights, transfers, etc. Please include detailed extension requests on the registration form. Once a travel agent contacts you, you can fine-tune your travel plans based on availability and cost.
If you would like to extend at the Ritz-Carlton Bali, please indicate your desired check-in and check-out dates during the registration process and we will check availability at the hotel on your behalf. If your extension can be confirmed (pending hotel availability), you will be contacted by our registration team to obtain your credit card information and secure your additional night(s).
The negotiated group rate at the Ritz-Carlton Bali is $264 -$371 per night, plus applicable fees & taxes - depending on room category & hotel availability. Extension nights will need to be confirmed prior to finalizing your flights.
Gratuities
OutSystems will be providing gratuities in conjunction with the scheduled program from your arrival to your departure. This includes:
- Baggage handling at the airport
- Hotel gratuities (bellman/housekeeping)
- Gratuities associated with hosted activities
- Gratuities at all scheduled evening functions
*Not included: Activities booked on your own or outside of the program dates.
Health & safety
As always, OutSystems stresses the importance of taking care of your health and well-being while traveling. Below are some actions you can take to ensure that you remain as healthy and safe as possible while at OutSystems President’s Club 2023.
- One of the biggest threats to tourists is pickpocketing/theft in crowded areas. Pickpocketing can be prevented by keeping your wallet, passports, and camera in a money belt or securely stored in your hotel safe. Do not flash money or electronics around in crowded areas.
- While water treatment, filtration, and purification have greatly improved in Bali, please make sure to only drink bottled, purified water during your trip. This includes when brushing your teeth or taking a shower. Water at hosted activities and restaurants at the hotel is safe to drink.
Medications & Prescription Drugs
Medications should be in labeled containers. When traveling with medications, it is recommended that you carry a copy of the prescription and keep all medications in your carry-on luggage.
Packing Tips
It is recommended that you do not check luggage that contains travel documents, medication, jewelry, electronic equipment, or any other valuables. These items should always be kept with you. We do not recommend bringing valuables on your trip to Bali, but if you choose to do so, it is recommended that you store your valuables in the safe provided in your sleeping room.

Passports & visas
In order to travel to Bali & return home after your trip, you will be required to present a valid passport with an expiration date of at least 6 months after your departure date from Bali. You are responsible for obtaining any necessary entry visas pertaining to your respective passport/home country. Please visit www.cibt.com for more information and for help attaining a visa if required. If you have questions, please contact your local human resources department. Please be sure to not only review visa requirements for Bali but also any countries you stop in as part of your air travel.
Personal Expenses
All attendees are responsible for any incidental purchases, including but not limited to, laundry charges, telephone calls, and gift shop purchases. Gratuities for your personal services such as laundry, valet, telephone calls, etc., should be taken care of by you at the time services are rendered. Please settle your incidental account with the hotel upon your final check-out.

travel documents / information
Final details will be sent with your travel documents approximately two weeks prior to OutSystems President’s Club. If you will be traveling during this time, please contact Launch, Inc. at outsystemsevents@launchinc.com to advise where the travel information and documents should be sent.
travel restrictions
Security measures have been instituted on most national and international flights restricting the amount of liquids and gels passengers can "carry-on" to the plane. To comply with these rules, each of your toiletries must be 3.4 oz. (100 ml) or smaller (most drug stores have a section that features these smaller travel size) and you must place all the toiletries in a single quart-size zip-top bag (approximately 1 liter). You must remove this zip-top bag from your carry-on for screening at the security checkpoint. Airlines strictly observe policies regarding items that cannot be included in carry-on bags, including any sharp or flammable objects, such as knives, razors, scissors, pocket knives, letter openers, etc. If any item is questionable, it is best to leave it at home or pack it in your checked luggage.
